What Should a Security Monthly Report Actually Include?

A monthly security report should help management understand what happened at the site and what needs attention. If it is only a collection of photographs and attendance records, it is not doing enough.

1. Executive summary

Start with the important points: major incidents, recurring operational issues, changes in risk, significant improvements and anything requiring management decision.

2. Manpower and attendance

Summarise staffing, significant absenteeism, replacements and any deployment issues that affected service delivery.

3. Incident overview

List meaningful incidents by category and status. Management should be able to see which incidents were closed, which remain open and whether any pattern is developing.

4. Patrol and inspection observations

Reporting should highlight relevant observations rather than flood the client with repetitive photographs. Examples include damaged access points, lighting issues, repeated parking problems, unsafe conditions or procedural non-compliance.

5. Corrective actions

This is one of the most important sections. For every recurring or material issue, show what action was taken, who is responsible and whether the action has been completed.

6. Recommendations

Security management should help the client improve the site. Recommendations might involve procedures, signage, access controls, lighting, CCTV coverage, visitor processes or manpower allocation.

7. Management matters requiring decision

Separate items that require client approval or action. This makes the report useful as a management tool rather than an archive.

The purpose of reporting is visibility and decision-making, not paperwork.
