How to Evaluate a Security Quotation Beyond the Hourly Rate

Security buyers often begin comparison with the hourly rate. Cost matters, but it is a poor standalone measure of what the site will actually receive.

Two quotations can look similar on the front page while providing very different levels of supervision, replacement support, reporting, management access and operational follow-up.

Compare the operating model

Ask who is responsible for the site after deployment. Is there a named operations contact? How are site problems escalated? How often is supervision carried out? What happens when a guard is absent or repeatedly fails to perform?

Understand what is included

Clarify uniforms, basic equipment, communication tools, supervisory visits, reporting, training, relief coverage and any technology that is part of the proposal. Avoid assuming these items are included because they appear in a marketing brochure.

Look at reporting and accountability

A professional security arrangement should give management visibility. Ask to see the proposed reporting structure, incident process and how corrective actions are tracked.

Ask about site takeover

The quality of the first days often sets the standard for the contract. A provider should be able to explain mobilisation, guard briefing, post instructions, handover, communication channels and how early issues will be managed.

Do not confuse a low rate with low total cost

A cheaper quotation can become expensive if management spends its own time dealing with absenteeism, poor discipline, repeated incidents or constant replacement. The real comparison is the total quality of the operation for the price—not only the hourly figure.

Questions I would ask before appointment

  • Who will be accountable for our site after the contract starts?
  • How will guards be supervised and how will we know it happened?
  • What is the process for absenteeism and replacement?
  • How are incidents reported, investigated and closed?
  • What information will management receive weekly or monthly?
  • How are repeated performance problems addressed?
  • What is the mobilisation plan before the first day?
A security quotation should tell you how the operation will be managed, not only how much each hour costs.
